Using the Group Number Field command

  1. Choose the Special Field command from the Insert menu. The Insert Fields dialog box appears with the Others tab selected. Select the Group Number command from the list that appears in the scroll box.
  2. Drag the Group Number Field to the desired insertion point and click to place it.

    A number is assigned to each group as the records are processed for printing. The number assigned represents the number of the group in the print sequence. The groups A, B, and C, for example, if sorted in ascending order (A to Z), will have the following group numbers: Group A = 1, Group B = 2, Group C = 3. The same groups, if sorted in descending order (Z to A), will have the following group numbers: Group C = 1, Group B = 2, Group A = 3. The term group number thus refers to the position of the group in the report, not to the data in the group; if a group of data changes its position in a report (relative to other groups), its group number changes as well.

Note:    Only the innermost groups are numbered. For example, if the records are grouped first by city and then by state, a group name field will refer only to the current city group number, not to the current state group number.
