Save Data with Report command

Use the Save Data with Report command if you plan to work again with the report you are creating in the near future (for example, fine tuning it) or if you plan to share the report with someone else who would not have access to the original data.

Typically, when you save a report, the program saves a report definition and the underlying data. The definition contains all of the information needed for printing your report. The data is a snapshot of the original data as it existed when you ran the report. If you clear the Save Data with Report option via the Options command on the File menu, the program saves only the report definition. The data must be refreshed each time the report is run. See Refresh Report Data command. To select the option for the current report, use this command.

There are some things to consider before using the Save Data With Report command.

Switch this command on or off to suit your needs. This option is switched on by default. To change the default, choose the Options command from the File menu and select the Save Data With Report option on the Reporting tab of the Options dialog box when it appears.

Note:    When the program saves data with the report, it compresses the data to take up less disk space. It decompresses the data when it opens the report.
