Insert Group dialog box

This dialog box appears when you choose the Group command from the Insert menu.

Use the Insert Group dialog box to group your data without summarizing the data in the groups. This is a useful command, for example, for dividing a customer list into state or ZIP code groups.

This dialog box contains three tabs:

Note:    The Specified Order and Others tabs appear only after you select "in specified order" as your sort order on the Common tab.

Use the Common tab to select the field you want to group on and then specify the sort order for your grouping.

Fields

This list contains the fields and formulas used in your report. Select the field that you want to use for grouping.

Sort Order

This list contains four sort direction options. The default is in ascending order. To change the sort direction, click the box to reveal the options and make your selection from the list.

Note:    The lists that appear in this area of the Common tab differ depending on the data type of the field selected. For example, a Date field contains a list of choices for grouping by time periods (each week, each month, and so on).

Customize Group Name Field

Use this check box if you want to display a name different from the one chosen by default. By default, the group name is the same as that of the field you are grouping on. Selecting this check box makes all options below it active.

Choose From Existing Field

Select this option to create a customized group name from an existing database field. For example, your report may be grouped on Customer ID, but you would rather display the Customer Name.

Use a Formula as Group Name

Select this option to create a customized group name from a formula. Clicking the formula button opens the Group Name Formula Editor.

Keep Group Together

Select this check box to keep groups from being split across a page. This will force groups to stay together. If there is enough room to keep them on the current page, the program will print them on the current page. If there is not enough room, the program will print them on the next page.

Repeat Group Header on Each Page

Select this check box if you want the program to print a new group header at the top of each page if a group is spread over several pages. Otherwise, a group header prints only at the beginning of the group.
